Workflows
Build a workflow by clicking: when this happens, only if, then these steps. Nothing is typed in a special format.
Find it under Settings, Workflows.
Triggers
Form submitted, meeting booked, quote accepted, document signed, invoice paid, ticket opened, tag added, and a lead going quiet, among others.
Steps
- If and else, up to 3 levels deep, with Yes and No sides that rejoin underneath.
- Wait for hours or days, until a date, or until a date on the lead.
- Add or remove a tag, move a stage, assign, notify or send an email.
Conditions can read custom properties, tags, UTM source, medium and campaign, referrer, quote total, meeting name and document name.
Turning one on
A workflow starts as a draft and does nothing until a person turns it on. If it emails people, Lead16 shows you who it reaches first:
- A workflow for leads going quiet shows the real people the next run would email.
- Any other trigger shows how many people it would have emailed in the last 30 days.
Anyone who has opted out, or has no address, is left out. Every workflow email carries an unsubscribe link.
Turning a workflow off, or editing it, takes everyone out of their waits.
Ask Claude to build it
On Professional and Enterprise, describe what you want and the builder fills in. It saves nothing: you save it as a draft and turn it on the same way.
