Invoicing System
Create professional invoices and track payments directly within Lead16.
Creating an Invoice
- Navigate to Invoices in the top menu
- Click + New Invoice
- Fill in the invoice details:
- Client: Select an existing lead or create new
- Invoice Number: Auto-generated or custom
- Issue Date: When the invoice is issued
- Due Date: Payment deadline
- Line Items: Products or services
- Tax Rate: Applicable tax percentage
- Notes: Additional terms or information
- Click Create Invoice
Invoice Line Items
Add multiple line items to each invoice:
- Description: What you're billing for
- Quantity: Number of units
- Unit Price: Price per unit
- Amount: Automatically calculated (Qty × Price)
Subtotals
- Subtotal: Sum of all line items
- Tax: Calculated based on tax rate
- Total: Final amount due
Invoice Status
Invoices move through these statuses:
| Status | Meaning |
|---|---|
| Draft | Not yet sent to client |
| Sent | Delivered to client |
| Viewed | Client has opened the invoice |
| Paid | Payment received |
| Overdue | Past due date, not paid |
| Cancelled | Invoice voided |
Sending Invoices
Via Email
- Open the invoice
- Click Send Invoice
- Review the email preview
- Click Send
The client receives a professional email with a link to view and pay.
Manual Delivery
- Click Download PDF
- Send via your preferred method
- Manually update status when paid
Recording Payments
When a client pays:
- Open the invoice
- Click Record Payment
- Enter:
- Amount: Payment amount
- Date: When received
- Method: Cash, Check, Transfer, etc.
- Reference: Transaction ID or check number
- Click Save
Partial payments are supported - the invoice shows remaining balance.
Recurring Invoices
For subscription or retainer clients:
- Create a regular invoice
- Enable Recurring
- Set frequency (Weekly, Monthly, Quarterly, Yearly)
- Invoice automatically generates on schedule
Invoice Analytics
View financial metrics on your Dashboard:
- Total Sent: All issued invoices
- Awaiting Payment: Outstanding amount
- Overdue: Past-due invoices
- Paid This Period: Recent collections
Reports
Navigate to Invoices → Analytics for:
- Revenue trends over time
- Payment timing analysis
- Client payment history
- Outstanding aging report
Best Practices
- Be timely: Send invoices promptly after delivering value
- Be clear: Use detailed descriptions clients understand
- Set reasonable terms: 14-30 days is standard
- Follow up: Contact clients before invoices become overdue
- Keep records: All invoices are stored for tax purposes
- Use recurring: Automate regular billing to save time
Integration with Leads
When a lead moves to "Won":
- Create an invoice directly from the lead
- Deal value pre-fills as invoice amount
- Client information auto-populated
- Link maintained for easy reference
