Pipeline & Kanban Board
The pipeline view is your central workspace for managing deals through your sales process.
Understanding the Kanban Board
The Kanban board organizes your leads into columns representing each stage of your sales process. This visual approach helps you:
- See your entire pipeline at a glance
- Identify bottlenecks (too many leads stuck in one stage)
- Focus on high-priority deals
- Track progress over time
Default Stages
Lead16 comes with default stages that work for most businesses:
| Stage | Purpose |
|---|---|
| New Lead | Fresh opportunities that just entered your pipeline |
| Contacted | You've made initial contact |
| Qualified | Confirmed they have need, budget, and authority |
| Proposal | Sent pricing, quote, or proposal |
| Negotiation | Working out terms and conditions |
| Won | Deal closed successfully |
| Lost | Deal didn't convert |
Customizing Stages
To modify your pipeline stages:
- Go to Settings
- Scroll to Deal Stages
- Use the + Add Stage button to create new stages
- Click the edit icon to rename or change colors
- Use arrow buttons to reorder stages
- Click the delete icon to remove unused stages
Note: The "New Lead" stage is locked and cannot be deleted to ensure new leads always have a place to land.
Moving Leads
Drag and Drop
- Hover over a lead card
- Click and hold the drag handle (☰)
- Drag to the target column
- Release to drop
Via Menu
- Click the three dots (⋮) on a card
- Select Move to...
- Choose the target stage
Quick Actions
For frequently used moves:
- Configure Quick Actions in Settings
- Add buttons like "Won", "Lost", "Meeting Booked"
- One-click moves directly from the card
Stage Metrics
Each stage column header shows:
- Stage Name: The column title
- Total Value: Sum of all deal values in that stage
- Deal Count: Number of leads in that stage
Pipeline Analytics
View deeper insights in the Dashboard:
- Pipeline by Stage chart: Visual breakdown of value distribution
- Days in Stage: Track how long deals typically stay in each stage
- Conversion Rates: See how many leads progress vs. drop off
Best Practices
- Keep it moving: Regularly review and update lead positions
- Don't skip stages: Progress leads sequentially for accurate tracking
- Use the right stages: Customize to match your actual sales process
- Archive stale leads: Don't let old leads clutter your active pipeline
- Review weekly: Schedule time to clean up and prioritize
